Priority scheduling will be given to groups supporting people with developmental disabilities and senior citizens, while government and educational groups will receive secondary consideration. Approved non-profits will be considered at the discretion of Darke DD. No fees apply but donations will be accepted and are appreciated.
Availability of the rooms may be limited. Reservations are made on a first come first served basis.
Please note that a custodial fee of $50 will be charged (as well as charges for any damages) if the room(s) is left in a state of disarray. Cleaning equipment/supplies are available.
GENERAL RULES FOR USE OF BIRCHWOOD CENTER
- The event organizer is required to have an organization representative present for the entire time the event is scheduled as specified on the Facility Use Request Form. The organizer must ensure the event facility is secure (front & rear doors locked) prior to leaving the event facility.
- This is a non-smoking facility.
- Tables and chairs are available at the Center. The organizer is responsible for setting up the space. The organizer is also responsible for returning the space to its original setup. The organizer shall wipe down tables and chairs.
- Please do not prop open external doors. If you have questions regarding the heating or cooling of the facility, please contact 937-548-9057.
- Kitchen: Kitchen items/utensils will generally be provided by the organizer. Some utensils may be available in the kitchen area and may be used, if needed. No items shall be left in the refrigerator. The Organizer shall double check appliances to make sure they are turned off. Any dishes/utensils used from the Center will be washed. Please leave the kitchen clean.
- All solid waste left for disposal must be bagged and taken to the dumpster at the rear of the Center.
- Organizer will sweep or mop floors, as needed.
- Do not place items on walls.
- Check that doors are locked, and lights are off upon leaving (after facility closing).
SAFETY AND LIABILITY ISSUES
If the organization named in the facility use agreement holds liability insurance, they shall indemnify and save harmless the facility owner and operator from and against all loss, liability, or damage for injuries to persons or property sustained of the use of said facilities by said organization. In the event the organizer is not in possession of liability insurance, such will be disclosed on the facility use request agreement.
Said organization further agrees that they shall use the premises in a careful, safe, and proper manner, and that they will carefully control and manage the audience.
Said organization also agrees to furnish all equipment necessary for the type of activity scheduled. As requested, Birchwood equipment that is utilized shall be left in the same condition as accepted prior to the event. Any equipment or furnishings that may be damaged during use must be fixed or replaced by the entity using the space. Such damage must be reported to Darke DD immediately after discovery.
Non-profit organizations who wish to use the facilities and grounds will be responsible for set up of space and return the space to prior set up. The organization shall clean the space utilized by sweeping, wiping down tables and chairs, and placing trash in the receptacle located in the rear parking lot (see responsibilities of building use listed below). If the organization is unable to clean the space, Darke DD will clean the space at a cost of $50 per event. Limited cleaning supplies are available at the facility. If an event is cancelled, the organization is asked to contact Darke DD at its earliest convenience regarding the cancellation.
Depending on the day and time of the event, a Darke DD staff member may or may not be immediately available during the event. Please plan accordingly.
